When are children accepted?

Children are usually admitted between September and March.

We are moving to Ulm and need a place in a daycare center. When can we register for a place in Ulm?

You can register as soon as you can prove that you will be moving to Ulm (e.g., signed purchase agreement or rental agreement) and you have your new address

I am interested in a daycare place in Ulm, but I do not live in Ulm. Can I still apply for a place?

Public places in Ulm are reserved for children whose primary residence is in Ulm. The following daycare centers also accept children who do not live in Ulm:

  • Kita-Minigenius, Eberhard-Finckh-Str. 39
  • Kita Römerstraße Group 8

Please contact your employer if they have a company daycare center.

How much are the parental contributions?

Parental contributions to childcare facilities are calculated and collected for all providers (except company daycare centers) on the basis of the "Statutes of the City of Ulm on the Collection of User Fees for Municipal Daycare Facilities for Children."

The amount of parental contributions in Ulm depends on three factors:

  • Parents' income
  • Number of children under 18 in the family
  • Selected level of care

Important note: In company daycare facilities, the collection of parental contributions and their amount is at the discretion of the companies.

Please note that some independent providers charge additional admission fees.

Can I visit the daycare center in advance?

Some daycare centers offer open days at regular intervals, while others invite you personally.
Please contact the daycare center for more information.
Please understand that it is not possible to visit all daycare centers in advance.

Is it possible to switch between the individual modules offered by my daycare center?

Please discuss this with your daycare center management so that you can be considered for the next available place. If necessary, a change may only be possible at the start of the new daycare year. Please note the modules offered by your facility.

Do I have to re-register my child for follow-up care in the over-3s section, even though we already have a place in the nursery (under-3s)?

You will need to re-register if your facility does not offer care for children over the age of three.
If your facility offers care for both children under and over the age of three, please contact the facility management. Acceptance is not guaranteed.

Can I also register my unborn child?

No, registration is only possible from the date of birth at the earliest.

I can't get a place at a daycare center. What can I do?

Who should I contact if I have questions about daycare fees?

Can I only submit a support request online?

Yes, please only submit childcare requests via our portal using "Little Bird."

What happens after I submit my request for support?

After submitting your childcare request, you will receive a confirmation email. Your child will be placed on the waiting lists for your preferred facilities. You will be notified as soon as a place becomes available. You can check your current status at any time in your parent profile.

When will I receive space offers?

At the earliest 18 months before the desired start date.

How many requests are possible per child?

5 requests at a time (if you receive a rejection, you can re-register your child).

How can I change the data I have entered at a later date (e.g., in the event of a move, the birth of a child, a change of address, etc.)?

If you have not yet received a place offer, you can update your details in your parent portal.

If you wish to change your details at a later date, please contact kita@ulm.de, stating the name of your institution. For data protection reasons, it is not possible to change your details yourself directly in the parent portal.

What is meant by sibling in childcare facilities?

One or more of your children are already attending a daycare center and you would like to register another of your children at this daycare center.

What significance does the Measles Protection Act have from March 1, 2020, when it comes to acceptance into a daycare facility?

From March 1, 2020, the new Measles Protection Act requires proof of vaccination for children newly admitted to daycare facilities (older than 23 months = full vaccination protection, younger than 24 months but older than 12 months = first standard vaccination, younger than 12 months = no vaccination).

What are the benefits of using the LITTLE BIRD parent portal?

With LITTLE BIRD, you can submit space requests to childcare providers of your choice, even several at the same time. It does not matter whether there is currently available capacity. To submit a space request, you need a personal account, which requires one-time registration and login to the parent portal.

Places are allocated by the providers themselves. The maximum number of place requests for daycare facilities is five.

How can I use LITTLE BIRD?

LITTLE BIRD can be used at any time and conveniently from home or from your computer, smartphone, or tablet. For reasons of fairness and accessibility, it is still possible to make space requests in person at the respective childcare providers. For advice on childcare in daycare facilities, please contact the city's family office.

Why do I have to use LITTLE BIRD?

The parent portal is a modern, digital service provided by the city of Ulm. From the comfort of your own home, you can get an overview of the childcare options in your area, filter them according to criteria that are important to you, and, if you wish, submit your place requests directly online.

Why do I need to create a personal account?

Registration and login are only necessary if you wish to submit a care request. Your personal account also gives you access to the following functions: saving searches, bookmarking facilities that meet your requirements, using the data for further care requests (only with your express consent), and real-time status queries for each individual care request.

I haven't received an activation email. What can I do?

You can have the activation email sent to you again. To do this, use the "Didn't receive activation email?" function on the login page of the LITTLE BIRD parent portal. Either enter your registered email address again or have the activation email sent to a different email address – in this case, you will also need the password you used.

If you still cannot find the activation email in your inbox (or spam/junk mail folder), please contact the LITTE BIRD support team with your name, registered email address, and desired municipality. You can reach them via the contact form: "Questions or difficulties registering/logging in to the parent portal."

I forgot my password. What should I do?

Please request a new password using the "Forgot password" function on the login page of the LITTLE BIRD parent portal. To do this, enter your username or your registered email address. For security reasons, you will then receive a message asking you to confirm that you need a new password. Once you have confirmed this, you will receive a temporary password that you can use to log in.

I am not receiving an email for a new password. What can I do?

Please also check your spam/junk mail folder. If you still cannot find the email to reset your password, please contact the LITTE BIRD support team with your name, registered email address, and the municipality you are interested in. You can reach them via the contact form: "Questions or difficulties logging in to the parent portal."

How can I delete my account?

If you would like to delete your account, please log in to the LITTLE BIRD portal first. There, under "My Profile," you can select "Delete Profile."

PLEASE NOTE: If you delete your account, you will no longer be able to access any care requests you have already submitted, nor will you be able to view/track the status of these requests. It is not possible to link this to a new account.

How can I unsubscribe from the newsletter?

If you no longer wish to receive the LITTLE BIRD newsletter, please log in to the LITTLE BIRD portal first. There, under "My Profile," you can select "Change personal data." Uncheck the box next to "Yes, I would like to receive the LITTLE BIRD newsletter" and save the change.

How can I submit a request for assistance?

To submit a childcare request, you must create a personal account and log in. Use various filters to search for childcare providers that suit your individual needs. Click on the "Create childcare request" button directly in the search results to access an online form. The fields marked with * must be filled in with the correct information. Then submit the childcare request. The childcare provider will receive your information and be informed that you are interested in a place.

For reasons of fairness and accessibility, it is still possible to submit childcare requests in person at the childcare providers' premises. For advice on childcare in daycare centers, please contact the city's family office.

Important to know: If you check the box at the end of the data entry process to allow your data to be stored in the portal, this data will be available for further childcare requests. If you do not check this box, the data must be re-entered for each childcare request.

What do I need to bear in mind when filling out the online forms in the parent portal?

Please ensure that you enter all data correctly. Fill in all fields marked with an asterisk (*). Even when requesting childcare for an unborn child, you must enter a first and last name as placeholders, as the system can only process complete data. If an entry does not match the specified format or an inconsistency is detected, the corresponding field will be marked in red and an exclamation mark will appear next to the field with further information for re-entering the data.

Why is the phone number a mandatory field when requesting support?

If the care provider needs clarification regarding your care request, they can contact you using the phone number you have provided.

Do I need to specify a second contractual partner?

Yes, if there are other legal guardians for the child for whom you have submitted a childcare request, they must be specified.

My address is not selectable. What can I do?

Each municipality usually maintains a street directory from which you can select your address. However, this must be updated at regular intervals, for example, when new development areas are created. Please contact the responsible contact person at the City of Ulm.

What does the "Priority" field mean in the support request?

If you request childcare places from several childcare providers at the same time, you can specify your priorities. Specifying priority "1" means that this childcare provider is your favorite.

Do I have to re-enter all my details for every request?

If you check the box indicating that your data may be stored in the portal when completing the data entry for the first support request, this data will be available for further support requests. If you do not check this box, the data must be re-entered for each support request.

I would like to change my care provider. How do I do that?

If your child currently has a childcare place within the city of Ulm or an existing childcare contract, you must mark your childcare request as a change request. To do this, click "yes" in the appropriate place. Without a clearly marked change request, the request cannot be processed, as children with a childcare contract are not entitled to another childcare place and are therefore not allowed to have active requests.

How will I find out if I have been accepted or rejected?

Once a childcare provider has decided on a place allocation, they will contact you by email or letter. You will then either receive a temporary place reservation, which you must confirm, or a rejection with the corresponding reason (e.g., no free capacity).

Important to know: If you have submitted multiple childcare requests, you can only receive one place offer. All other requests will be paused. As soon as you reject an offer, the other childcare requests will become active again. If you have received a rejection, you can submit a new childcare request to another childcare provider and reuse the priority that may have become available.

Why can I only receive one seat offer?

The LITTLE BIRD management system creates equal opportunities by preventing some parents from receiving multiple offers at the same time, while others are left empty-handed or have to wait longer. As soon as an offer is made in the system, the other requests are paused (inactive). If you accept the place within the specified period, the child is considered to have been placed. If the offer is rejected, all other requests are automatically reactivated (active).

How can I change the data I have entered at a later date (e.g., in the event of a move, the birth of a child, changes to the specified priorities, etc.)?

Unfortunately, it is not currently possible for you to change childcare requests that have already been submitted. The reason for this is that, for data protection reasons, very little data is currently stored in the parent portal; instead, it is sent directly to the childcare facility and its administration system. However, we are already working on a secure solution. Until then, change requests can only be made and stored centrally via the childcare provider or the administration.

How can I place a sibling/multiple children with the same childcare provider?

Please submit childcare requests for each child individually at your preferred facilities. You can enter a comment directly in the form for the respective childcare request stating that you are looking for childcare for several children at the same childcare provider. If one of your children is already being cared for by the same childcare provider, you can also indicate this directly on the form for the respective childcare request. Please note that there is no guarantee that all siblings will be accepted at the same facility.

Why do I still have to introduce myself in person?

The parent portal does not replace the personal meeting between the childcare provider and the family, but rather offers technical support. A personal introduction is also essential in the further process in order to identify you as a real person. You are considered "introduced" once you have provided a document confirming your identity.

How can I contact the care providers personally or directly?

To contact a specific care provider, use the contact details provided in the respective portal profiles. If the profiles do not contain the information you require, please contact the City of Ulm.
